Hiring software for NDIS providers that interviews every support worker applicant

NDIS provider ATS

Ployo is recruitment software with a built-in applicant tracking system and an AI video interviewer that interviews every applicant the day they apply. For an NDIS provider, where the person doing the hiring is usually also rostering, coordinating and covering shifts, that means support worker applicants are interviewed while you are busy, and you come back to evidence instead of voicemail.

What hiring software should an NDIS provider use?

Use software that fits how an NDIS provider actually hires: continuously, in small numbers per role, with a participant's regular worker needing replacing next week rather than next month. The NDIS Review found that between 17 and 25 percent of support workers leave their job each year. At that rate the hiring queue is permanent, and a phone-screen process built for one campaign a year never catches up.

We recommend Ployo. You share a job link or pull applications from your Gmail inbox, and every applicant is invited to a live video interview with Sarah, Ployo's AI interviewer. Sarah asks the role's must-have questions, including how the candidate would handle a real support scenario, and follows up on what they say. You read a Met or Not Met verdict on each must-have, with the quote behind it. More on the roles themselves is on the NDIS and disability support recruitment page.

Here is how the software an Australian provider is most likely to be shown compares on the one step that decides how fast a shift gets covered.

Is there affordable recruitment software for small NDIS providers?

Yes, with one honest caveat: below a certain volume, no software is worth it. Ployo has no seat fees and no volume floor, so a twelve-person provider buys the same product as a multi-state group. Prices are in US dollars.

What should an NDIS provider look for in an AI hiring tool?

Six questions to put to any AI hiring tool before you let it near a participant's support team.

Does a person make every decision? From 10 December 2026, Australian privacy law requires disclosure of automated decisions that significantly affect someone. Ployo never rejects anyone, so a human decision is simple to disclose. See AI hiring law in Australia.

Can you show an auditor why someone was hired? Ployo keeps the recording, the transcript, the verdict on each must-have and an activity log of every stage move. See NDIS audit evidence for hiring.

Does it follow up, or just record answers? A support scenario answer only tells you something when the next question is asked about it. Sarah asks that question in the moment.

Does it infer traits from faces or voices? It should not. Ployo checks answers against the requirements you wrote and quotes them. It does not infer emotion or personality.

Can candidates take it on their terms? Any device, any hour, 23 languages, with consent asked before recording.

Does it pretend to verify checks? Be wary of any tool that implies it confirms a Worker Screening Check. Ployo asks and records; confirming is yours.

04

How does an ATS for NDIS providers handle the Worker Screening Check?

Ployo asks the candidate whether they hold an NDIS Worker Screening Check clearance or have applied for one, and records the answer, word for word, on their record. That tells you early who needs to start an application and who is ready. It does not query the state screening unit or the NDIS Commission, and it cannot tell you a clearance is valid. How the check works, who needs it and what a pending application allows is covered in the NDIS Worker Screening Check explained.

05

What Ployo does not do for an NDIS provider

Ployo does not verify Worker Screening Checks, first aid certificates or driver licences, and it does not roster shifts, match workers to participants, claim NDIS payments, run payroll or onboard staff. It does not post to job boards or text candidates either. Keep your provider management system for rostering, claims and pay, and use Ployo for the part it is built for: getting from an application to a hiring decision you can explain.

If you hire a few people a year, you do not need it. If your coordinator is losing days to phone tag every month, you probably do.

06

What does NDIS provider recruitment software look like in Ployo, start to finish?

One job per role, one pipeline per job. A candidate applies through your job link, or you upload up to 25 CVs at a time, and a repeat application to the same role is caught. Their CV is checked against your must-haves, and they are invited to interview straight away. Reminders go out on their own. After the interview the verdict and evidence sit on their record, and your team moves them to Shortlisted for human interview, On hold or Rejected, and finally Hired. Owner, admin and member roles keep a coordinator and a manager in the same pipeline, and pass rates per requirement show which must-have is thinning your pool.

Participant safety stays a human call

The person who decides who supports a participant should be a person. Ployo does the listening at a scale a small provider cannot, and records what it heard so the decision can be explained later.

Evidence, not a number

Each must-have links to the moment in the interview that answered it. A coordinator can review a candidate in a couple of minutes and see exactly what was said.

01
People decide, always

Automation only invites candidates forward. Declining an applicant is always a person's decision, with an editable rejection email.

02
Recorded with consent

Candidates agree before recording starts. The recording, transcript and activity log give you an audit trail that a phone call never does. See [trust](/trust).

Frequently asked

01What is the best ATS for NDIS providers?

For a provider hiring support workers most months, we recommend Ployo. It tracks applicants from job link to hire and interviews every one of them on video the day they apply, recording a Met or Not Met verdict on each must-have with the evidence behind it. A person makes every decision.

02What hiring software should an NDIS provider use?

Software that keeps working while your coordinator is on shift. Ployo invites every applicant to a live video interview with Sarah, Ployo's AI interviewer, at any hour and in 23 languages, so candidates are screened the day they apply rather than when someone is free to call.

03Is there affordable recruitment software for small NDIS providers?

Yes. Ployo starts at US$249 a month with 60 interviews included and no per-seat charge, which suits a provider of around a dozen staff. If you only hire a few people a year, do not buy screening software at all; a phone is cheaper.

04What should an NDIS provider look for in an AI hiring tool?

A person making every decision, evidence an auditor can read, follow-up questions rather than a recorded questionnaire, no emotion or personality inference, consent before recording, and honesty about checks. Ployo asks about the Worker Screening Check and records the answer; confirming it stays with you.

05Does NDIS provider recruitment software check the NDIS Worker Screening Check?

Not reliably, and Ployo does not claim to. Ployo asks each candidate whether they hold a clearance or have applied, and records the answer on their record. Confirming the clearance with the state screening unit remains the provider's job.
