Should you expect to pay per candidate or a flat monthly fee?

A flat monthly fee, and we do that deliberately.

Charging per candidate makes you ration interviews. You start filtering CVs first to keep the invoice down, and filtering CVs first is the exact thing Ployo exists to replace. A plan with interviews included means you can invite everyone who applies without doing arithmetic first.

You will see per-candidate figures quoted for this category, usually somewhere between A$2 and A$8 for an automated screen. Our effective rates sit inside that range, between A$3.74 and A$5.82 depending on plan, for a live two-way video interview rather than a recorded questionnaire.

Compare it against what you already spend, not against other software

An applicant tracking system for a small provider typically runs A$350 to A$400 a month. That buys you somewhere to store candidates, score their CVs and book calendar slots. A person still makes every screening call.

Essential costs about the same as that, and it conducts the interviews. Same money, and one of the two does the work. Applicant volumes are illustrative and assume roughly 15 to 20 applicants per role, which is typical for frontline care advertising in Australia. Your own numbers will differ. Work from your applications, not your hires, because Ployo interviews everyone who applies.

How does that compare to a recruiter doing the screening?

Work it out on your own numbers rather than ours. The formula is the loaded hourly cost of whoever currently does first-round screening, multiplied by the time each screen actually takes, including the attempts that do not connect.

As a worked example, at A$50 an hour loaded, a 20 minute screening call is A$16.70 of paid time before you count a single unanswered call. Most teams need two or three attempts to reach a frontline applicant, so the real cost per completed screen is usually well above that.

On the Growth plan an interview costs about A$4.76 and happens whether or not anyone is available to make the call. That is the comparison worth making. Not software against software, but software against the hours your coordinator is currently spending on the phone.

Divide your monthly plan by the hires you make in a month.

The single site example above interviews around 185 applicants a month to make about 7 or 8 hires. At A$1,190 a month that is roughly A$150 to A$170 of screening cost per hire. Compare that against your own cost per hire, which for frontline care roles in Australia usually runs into the thousands once advertising, agency fees and unfilled shifts are counted.

Is there a free trial?+

What happens if we go over the included interviews?+

Extra interviews are charged at A$6.50, A$5.50 or A$4.50 depending on your plan. There is no cut-off and nothing stops working. If you are consistently over, moving up a plan is cheaper.

Is it cheaper to pay annually?+

Yes, annual prepayment gets two months free, which is a saving of about 17%. Most care providers budget annually and this matches that cycle.

Do you charge per user or per recruiter?+

No. Plans are priced on interview volume only. Add as many coordinators, facility managers and hiring managers as you need at no extra cost.

What counts as an interview?+

An interview a candidate actually started. Invitations that are never accepted are not charged.

Is there a minimum term or a setup fee?+

No setup fee. Monthly plans are month to month. Annual plans run for twelve months in exchange for the discount.

What does a small NDIS provider actually need?+

Essential at A$349 a month covers 60 interviews, which suits a provider making roughly 15 to 30 hires a year. If you hire in bursts rather than steadily, the overage rate means a busy month costs a little more rather than forcing you onto a bigger plan.
