The home health ATS that reaches caregivers before the agency down the road
Ployo is recruitment software with a built-in applicant tracking system and an AI video interviewer that interviews every applicant the day they apply. For a home health or home care agency, where a caregiver applies to three agencies on the same evening and works for whichever calls first, that means your interview happens that night, and your recruiter starts the morning with answers instead of a call list.

Which recruiting software do home health agencies recommend?
We can't speak for other agencies, and there is no reliable survey of what they recommend. What we can say is what the job demands. The Bureau of Labor Statistics projects about 760,500 openings for home health and personal care aides every year, most of them from people leaving the work. An agency is therefore hiring constantly, from applicants who are also applying elsewhere, and the first agency to have a real conversation usually wins.
That is why we recommend Ployo. Every applicant is invited the moment they apply to a live video interview with Sarah, Ployo's AI interviewer, on their phone, at 11pm if that is when they are free. Sarah asks your must-have questions about license, car, availability and hands-on care, follows up on the answers, and records a Met or Not Met verdict on each must-have with the caregiver's own words quoted.
Can you recommend hiring software for a small home care agency?
Yes: if your ads draw more applicants than your coordinator can call back the same day, we recommend Ployo. A small agency is exactly where the recruiter is also the scheduler, the trainer and the person covering a missed visit, so screening calls happen late or not at all. Ployo interviews every applicant while that person is busy.
Essential is US$249 a month with 60 interviews included and no per-seat charge, so the owner, the coordinator and a field supervisor can all see the pipeline. If you hire a handful of caregivers a year and rarely have more applicants than you can call, you do not need it yet. Plans are on the pricing page.
Which caregiver must-haves does Ployo check?
The questions a coordinator asks on every screening call, asked of every applicant and recorded.
| Must-have | Checked how | What lands on the record |
|---|---|---|
| Valid driver's license and a reliable car | Asked on video | The applicant's answer in their own words, with a follow-up if it is vague. |
| Weekend, overnight and live-in availability | Asked on video | The exact shifts they said they can work, quoted. |
| Hands-on personal care experience | Follow-up probe | What they actually did, such as transfers, bathing or dementia care, in their words. |
| Travel radius and service areas | Asked on video | How far they will drive and which areas they cover. |
| Home health aide or CNA certification | Asked, you verify | Their stated certification. Checking the state registry stays your job. |
| Background check | Your process | Ployo can ask whether they will consent to one. It does not run the check. |
Why do home health applicants disappear before the interview?
Mostly because of the gap between applying and being contacted. A caregiver who applies at night gets a call days later, from an unknown number, while they are on a visit, and by then another agency has offered shifts. Chasing harder rarely fixes it. Changing when and how the first conversation happens does.
Ployo closes the gap. The invitation goes out the moment someone applies, the caregiver can start straight away or book a slot, and reminders go out on their own. The pattern is covered in more depth in why care applicants ghost.
What does an ATS for home health agencies track?
One record per caregiver, one pipeline per job. Applications come in through a job link, a bulk CV upload or your Gmail inbox, and a repeat application to the same job is caught. After the interview the verdict, recording and transcript sit on the record. Your team moves caregivers through Pending, Shortlisted, On hold, Invited for AI interview, Shortlisted for human interview and Hired, or Rejected, one at a time or in bulk, with undo.
Analytics show where applicants drop out, the pass rate per requirement and how long interviews take to complete. If most applicants fail on a car, you learn that from the numbers rather than from a month of calls. The wider home care picture is on the home care recruitment page.
What Ployo does not do for a home health agency
Ployo does not run background checks or drug screens, verify certifications against state registries, handle I-9s or onboarding, schedule visits, match caregivers to clients, handle EVV or run payroll. Keep your home care agency software for scheduling, visits and pay.
It also does not send text messages. Invites, reminders and confirmations go by email, and caregivers who live on SMS may need a nudge from your team. It does not post to job boards or book the in-person interview into a calendar. What it does is make sure every applicant has been interviewed before anyone on your team spends time on them.
A real interview, on video, that follows the answer
Caregivers treated fairly. Your team decides.
The people you send into clients' homes should be chosen by people. Ployo does the first conversation at a scale a small office cannot, and keeps a record of it.
Each must-have carries a Met or Not Met verdict with the caregiver's own answer quoted, plus the recording and transcript.
Automation only invites caregivers forward. Declining someone is always a person's call, sent with a rejection email you can edit.
Any device, any hour, 23 languages, with consent before recording, so a caregiver working days is not screened out by a 2pm phone call. See [trust](/trust).
Frequently asked
01What is the best ATS for home health agencies?
For an agency hiring caregivers every week, we recommend Ployo. It tracks every applicant from job link to hire and interviews each one on video the day they apply, so you reach caregivers before other agencies do. Your team reviews the evidence and makes every decision.
02Can you recommend hiring software for a small home care agency?
Ployo, if your ads bring in more applicants than you can call back the same day. It starts at US$249 a month with 60 interviews and no per-seat charge. If you only hire a few caregivers a year, a phone and a spreadsheet are enough for now.
03Which recruiting software do home health agencies recommend?
There is no reliable survey, so be careful with lists that claim one. Ask other agencies how long a caregiver waits for a first conversation. Ployo cuts that to the same day: Sarah, Ployo's AI interviewer, interviews every applicant at any hour.
04What is the best home health hiring software for caregivers who work nights?
Software that does not need a recruiter awake at the same time. With Ployo a caregiver can start the video interview at midnight on their phone, or book a slot that suits them, and the agency reviews the recording and verdict in the morning.
05Does home health hiring software run background checks?
Ployo does not. It asks caregivers about the checks and certifications your agency requires and records their answers, but background checks, drug screens and state registry checks stay with your background check provider and your team.
